Hirers can't find it
The instructions are taped inside a cupboard, or in a binder nobody can find at 9 pm on a Saturday.
UGuide turns the binder in the cupboard into QR codes where they're needed. Hirers scan and see how to run the air conditioning, set the alarm or use the kitchen. No app, no login, no phone call to the committee.
UGuide AIWrites your guide from a few notesThe sticker is a real QR code. Scan it to see a full example guide, or open it here.

Every AGM, the person who knew how the heating works hands over the keys and moves on.
Facility agreements expect current operating guides for the building and the equipment in it.
UGuide puts the right instructions on the wall, right where people are standing.
Add your club or council, then each building it looks after. Invite the committee, so the guide outlasts every AGM.
Type the steps, or let UGuide AI write the first draft from a few notes. Add photos, a short video or the PDF manual, and mark anything private, like the alarm code, as “Needs PIN”.
Labels or signs, from 1 to 20 on an A4 page. Every section keeps its own code forever, so changing the guide never means reprinting.
Hirers point their phone camera at the code and the right instructions open straight away. No app, no account, no phone call to the committee.

Start free or log inWriting instructions is the hard part, and it usually falls to one busy volunteer. Tell UGuide AI about the building in your own words and it drafts clear, step-by-step instructions anyone can follow.
You stay in charge. Nothing goes into a guide until you choose to use it, new guides start as drafts, and you add alarm codes and PINs yourself afterwards.
Football pavilion with a kitchen, two change rooms, a scoreboard and oval lights. Hirers mostly need to open up, use the kitchen and lock up.
Write the guideThe draft appears here.
Visitors point their phone camera at the code and the guide opens in the browser. That's it.
Edit the guide any time. The stickers already on the wall keep working.
Alarm codes and plant-room steps only show for people you give the facility PIN to.
Download the whole guide as a PDF, with a QR code back to the live version.
One tap reads the steps out, in an Australian voice where the phone has one.
Show the switch, play a short clip, attach the PDF. Videos are shrunk automatically.
Invite people, give owners full control, and hand over when the committee changes.
Choose 1 to 20 codes per A4 page and how big they print.
Guides, QR signs and PDFs can carry your logo instead of ours. On Pro, each facility can have its own.
Put each facility under your organisation. Owners see everything; committee members only work on the buildings they're added to. The guide stays with the building, not with whoever wrote it.
A licence for each facility, Basic or Pro, with bulk discounts from 5. Try one free for 14 days, no card needed.
Still wondering? Create a free account and try it: the guide stays private until you publish it. There are more answers in the help centre, or ask us anything.
No. Any phone camera opens the guide in the web browser. Only the people who write the guide need an account: 1 on Free, and up to 3 per facility on Basic or 25 on Pro.
Nothing needs reprinting. Each code is permanent, so the same sticker shows the new version as soon as you publish it.
It writes the first draft. Describe the building, or jot down a few notes, and it drafts the sections and step-by-step instructions. Already have a guide in Word or a PDF? It turns that into sections and steps instead, with the pictures in place. Add your photos and PDF manuals and it puts each in the right section; it can also draw simple diagrams and find the maker’s manuals online. You check everything before it goes in, and you add codes and PINs yourself. It comes with the Basic, Pro and Enterprise plans.
Yes. Mark a section “Needs PIN” and only people with the facility PIN can open it.
Your club or council does, not a person. Invite new people, hand over ownership, and remove anyone who has moved on.
Yes. With a Basic or Pro licence, add your logo and pick your colour, and they replace UGuide’s on every guide people open from that facility’s QR codes, on printed signs and labels, in PDFs and in the emails we send for you. A small “Powered by UGuide” stays at the bottom of guides. With a Pro licence, a facility can also have a logo and colour of its own, for example a hall that a different club runs.
Yes. You can try a Basic or Pro licence free for 14 days on one facility, and you don’t need a card to start. Everything in the licence works, except that UGuide AI has 5 uses a month until you add a card. Add one before the trial ends to keep it. If you don’t, the facility goes back to Free: nothing is deleted, and you can buy a licence whenever you’re ready.
Yes. Put every facility under one organisation and give each committee access to just its own building. Each facility has its own licence, so you only pay Pro prices where you need Pro, and the more you buy the less each costs: 10% off from 5 of a kind, 20% from 10 and 30% from 25. Councils can also have an Enterprise contract, invoiced yearly.
You buy a licence for each facility: Basic ($80 a year or $8 a month) or Pro ($200 a year or $20 a month), including GST, in any mix. One facility in each entity can run on Free. How many people can work on a facility depends on its licence: 1 on Free, 3 on Basic and 25 on Pro, owners included. You can add licences, move them between facilities, or give some up at any time.
