The after-hours calls
Hirers ring the on-call officer because nobody can work out the heating or the alarm at the hall.
UGuide puts the operating guide for each hall, pavilion and kinder on QR codes where people need them. Hirers and user groups scan to see how the heating, alarm or kitchen works, and your team stops fielding the same after-hours calls.
UGuide AIWrites each building’s guide from a few notesThe sticker is a real QR code. Scan it to see a full example guide for a community hall, or open it here.

Each season brings new committees and hirers, and the know-how leaves with the last lot.
Facility agreements and audits expect current operating guides for every building and the equipment in it.
UGuide puts the current instructions in every building, and keeps them all in one place.
Add the council, then each facility it looks after. Give each committee or user group access to just its own building, so the guide outlasts every change of hirer.
Type the steps, or let UGuide AI draft them from your notes or the guide you already have in Word or a PDF. Add photos, a short video or the maker’s manual, and mark anything private, like the alarm code, as “Needs PIN”.
Labels or signs, from 1 to 20 on an A4 page. Every section keeps its own code forever, so changing the guide never means reprinting.
Hirers point their phone camera at the code and the right instructions open straight away. No app, no account, no call to the on-call officer.

Start free or log inWriting a guide for every building takes time your team doesn’t have. Tell UGuide AI about each building in your own words, or give it the guide you already have, and it drafts clear, step-by-step instructions anyone can follow.
You stay in charge. Nothing goes into a guide until you choose to use it, new guides start as drafts, and you add alarm codes and PINs yourself afterwards.
Community hall with a stage, a commercial kitchen, a hearing loop and ducted heating. Hirers need to open up, run an event and lock up.
Write the guideThe draft appears here.
Visitors point their phone camera at the code and the guide opens in the browser. That's it.
Edit the guide any time. The stickers already on the wall keep working.
Alarm codes and plant-room steps only show for people you give the facility PIN to.
Download the whole guide as a PDF, with a QR code back to the live version.
One tap reads the steps out, in an Australian voice where the phone has one.
Show the switch, play a short clip, attach the PDF. Videos are shrunk automatically.
Give each committee its own building, keep your team in control, and hand over when people change.
Choose 1 to 20 codes per A4 page and how big they print.
Guides, QR signs and PDFs can carry the council’s logo instead of ours. On Pro, a facility can have its own.
Put every facility under the council. Your team sees everything; committees and user groups only work on the buildings they're added to. The guide stays with the building, not with whoever wrote it.

Yes. Put every facility under the council and give each committee access to just its own building. Each facility has its own licence, so you only pay Pro prices where you need Pro, and the more you buy the less each costs: 10% off from 5 of a kind, 20% from 10 and 30% from 25. Or cover every building with one Enterprise contract, invoiced yearly.
Yes. Invite people to just the facilities they look after. Owners in your team see and manage everything, and can remove anyone who has moved on.
Yes. An Enterprise contract covers all your facilities and is invoiced yearly. Talk to us and we’ll put together a quote.
No. Any phone camera opens the guide in the web browser. Only the people who write the guide need an account: 1 on Free, and up to 3 per facility on Basic or 25 on Pro.
Nothing needs reprinting. Each code is permanent, so the same sticker shows the new version as soon as you publish it.
It writes the first draft. Describe the building, or jot down a few notes, and it drafts the sections and step-by-step instructions. Already have a guide in Word or a PDF? It turns that into sections and steps instead, with the pictures in place. Add your photos and PDF manuals and it puts each in the right section; it can also draw simple diagrams and find the maker’s manuals online. You check everything before it goes in, and you add codes and PINs yourself. It comes with the Basic, Pro and Enterprise plans.
Yes. Mark a section “Needs PIN” and only people with the facility PIN can open it.
Yes. You can try a Basic or Pro licence free for 14 days on one facility, and you don’t need a card to start. Everything in the licence works, except that UGuide AI has 5 uses a month until you add a card. Add one before the trial ends to keep it. If you don’t, the facility goes back to Free: nothing is deleted, and you can buy a licence whenever you’re ready.
You buy a licence for each facility: Basic ($80 a year or $8 a month) or Pro ($200 a year or $20 a month), including GST, in any mix. One facility in each entity can run on Free. How many people can work on a facility depends on its licence: 1 on Free, 3 on Basic and 25 on Pro, owners included. You can add licences, move them between facilities, or give some up at any time.
