Meetings start late
Nobody can get the laptop onto the screen, and the first ten minutes go on cables and settings.
UGuide puts the instructions for your meeting rooms, printers and kitchen on QR codes right where people get stuck. Staff, new starters and visitors scan and see the steps. No app, no login, no IT ticket.
UGuide AIWrites your workplace guide from a few notesThe sticker is a real QR code. Scan it to see a full example workplace guide, or open it here.

Pick a video and the whole page switches to that audience’s words and examples.
Nobody can get the laptop onto the screen, and the first ten minutes go on cables and settings.
IT and the office team answer “how do I…” about the printer and the AV, again and again.
Hybrid work means fewer people around to ask, and the intranet page is three clicks and a password away.
UGuide puts the steps on the thing itself, right where people get stuck.
Add your company, then each office or floor (UGuide calls them facilities). Invite the people who look after them, so the guide outlasts any one person.
Type the steps, or let UGuide AI write the first draft from a few notes. Add photos, a short video or the PDF manual, and keep after-hours alarm steps behind a PIN.
Labels or signs, from 1 to 20 on an A4 page. Every section keeps its own code forever, so changing the guide never means reprinting.
Staff and visitors point their phone camera at the code and the right instructions open straight away. No app, no account, no IT ticket.

Start free or log inWriting instructions is the hard part, and it lands on whoever set things up. Tell UGuide AI about the office in your own words and it drafts clear, step-by-step instructions anyone can follow.
You stay in charge. Nothing goes into a guide until you choose to use it, new guides start as drafts, and you add alarm codes and PINs yourself afterwards.
Office floor with two meeting rooms with Teams screens, a print room, a kitchen with a coffee machine and a bike room. New starters need to find their way around.
Write the guideThe draft appears here.
Staff and visitors point their phone camera at the code and the guide opens in the browser. That's it.
Edit the guide any time. The stickers already on the walls keep working.
After-hours alarm steps and comms-room details only show for people you give the PIN to.
Download the whole guide as a PDF, with a QR code back to the live version.
One tap reads the steps out, in an Australian voice where the phone has one.
Show the button, play a short clip, attach the PDF. Videos are shrunk automatically.
Invite the people who look after each office, keep owners in control, and hand over when someone moves on.
Choose 1 to 20 codes per A4 page and how big they print.
Guides, QR signs and PDFs can carry your company’s logo instead of ours. On Pro, each office can have its own.
Put each office under your company. Owners see everything; site teams only work on the offices they're added to. The guide stays with the office, not with whoever wrote it.
A licence for each office, Basic or Pro, with bulk discounts from 5. Try one free for 14 days, no card needed.

No. Any phone camera opens the guide in the web browser. Only the people who write the guide need an account: 1 on Free, and up to 3 per office on Basic or 25 on Pro.
That’s what it’s best at. Put a code on the screen, the printer and the coffee machine, and people get the steps right there. On Basic and Pro, you can see how often each QR code is scanned, what people search for and the problems they report, tracked until they’re resolved.
Yes. Mark a section “Needs PIN” and only people with the office’s PIN can open it.
Nothing needs reprinting. Each code is permanent, so the same sticker shows the new version as soon as you publish it.
It writes the first draft. Describe the office, or jot down a few notes, and it drafts the sections and step-by-step instructions. Already have instructions in Word or a PDF? It turns them into sections and steps instead, with the pictures in place. Add your photos and PDF manuals and it puts each in the right section; it can also draw simple diagrams and find the maker’s manuals online. You check everything before it goes in, and you add codes and PINs yourself. It comes with the Basic, Pro and Enterprise plans.
Yes. With a Basic or Pro licence, add your logo and pick your colour, and they replace UGuide’s on every guide people open from that office’s QR codes, on printed signs and labels, in PDFs and in the emails we send for you. A small “Powered by UGuide” stays at the bottom of guides. With a Pro licence, an office can also have a logo and colour of its own, for example a site that trades under a different brand.
Yes. You can try a Basic or Pro licence free for 14 days on one office, and you don’t need a card to start. Everything in the licence works, except that UGuide AI has 5 uses a month until you add a card. Add one before the trial ends to keep it. If you don’t, the office goes back to Free: nothing is deleted, and you can buy a licence whenever you’re ready.
Yes. Put every office under your company and give each site team access to just its own office. Each office has its own licence, so you only pay Pro prices where you need Pro, and the more you buy the less each costs: 10% off from 5 of a kind, 20% from 10 and 30% from 25. Larger organisations can also have an Enterprise contract, invoiced yearly.
UGuide calls your company an “entity” and each office a “facility”. You buy a licence for each office: Basic ($80 a year or $8 a month) or Pro ($200 a year or $20 a month), including GST, in any mix. One office in each entity can run on Free. How many people can work on a office depends on its licence: 1 on Free, 3 on Basic and 25 on Pro, owners included. You can add licences, move them between offices, or give some up at any time.
