The instrument guide that lives on the bench.

UGuide puts your SOPs and quick-start steps on QR codes at every instrument. Students, researchers and new users scan and see how to run the centrifuge, load the autoclave or deal with a freezer alarm, always the current version.

The problem

The SOP binder is three versions old.

Old copies everywhere

Printed SOPs sit beside the instrument long after the method changed, and nobody knows which one is current.

New users every semester

Students and visiting researchers need the same walk-through, and the technician gives it again and again.

Nobody to ask after hours

At 8 pm the person who knows the autoclave has gone home, and guessing isn’t an option.

UGuide puts the current steps at every instrument, right where people are working.

How it works

From SOP binder to QR code in four steps.

  1. Step 1

    Set up your lab

Add your institute or department, then each lab (UGuide calls them facilities). Invite the technicians and lab managers who keep the instruments running.

  2. Step 2

Write it once, instrument by instrument

Type your SOPs, or let UGuide AI turn your notes or the SOPs you already have into numbered steps. Attach the maker’s manual, add photos and a short video, and keep admin settings behind a PIN.

  3. Step 3

Print the QR codes and stick them up

Labels for every instrument, from 1 to 20 on an A4 page. Each one keeps its code forever, so updating an SOP never means reprinting.

  4. Step 4

    Anyone scans. Sorted.

Users point their phone camera at the code and the steps for that instrument open straight away. No app, no account, no out-of-date printout.

Try it: scan the code, or open the example guide

UGuide AI

Jot down a few notes. UGuide AI writes the SOP.

Writing SOPs is the hard part, and it lands on the busiest technician. Tell UGuide AI about the instrument in your own words, or give it the SOP you already have, and it drafts clear, numbered steps anyone can follow.

  • Write a whole guideDescribe the lab, or start from the SOPs you already have in Word or a PDF. Add your photos and manuals, and get every section written with each photo in place.
  • Suggest sectionsSee what a guide like yours should cover, with simple diagrams and the maker’s manuals found online.
  • Draft a sectionTurn rough notes into numbered steps.
  • Improve what’s thereMake your own words clearer, shorter, or into steps.

You stay in charge. Nothing goes into a guide until you choose to use it, new guides start as drafts, and you check every step and add PINs yourself afterwards.

What should the guide cover?

PC2 molecular biology lab with two centrifuges, an autoclave, a fume cupboard, a −80 °C freezer and a biosafety cabinet. New students need to use them safely.

Features

Everything a new user needs. Nothing they have to install.

No app. No login.

Users point their phone camera at the code and the SOP opens in the browser. That's it.

Codes that never break

Update an SOP any time. The labels already on the instruments show the new version.

PIN-protected sections

Admin settings, service steps and after-hours contacts only show for people you give the lab PIN to.

Save as a PDF

Download the whole guide as a PDF, with a QR code back to the live version.

Read aloud

One tap reads the steps out, so gloved hands can stay on the bench.

Photos, video and manuals

Show the setting, play a short clip, attach the maker’s manual or the full SOP. Videos are shrunk automatically.

Easy handover

Invite technicians and lab managers, give owners full control, and hand over when people move on.

Print-ready labels

Choose 1 to 20 codes per A4 page and how big they print.

Your logo, your colours

Guides, QR signs and PDFs can carry your institute’s logo instead of ours. On Pro, each lab can have its own.

For institutes and core facilities

Every lab in one place. Every team in its own lane.

Put each lab under your institute or department. Owners see everything; technicians only work on the labs they're added to. The SOPs stay with the lab, not with whoever wrote them.

Questions

Good questions, short answers.

Still wondering? Create a free account and try it: the guide stays private until you publish it. There are more answers in the help centre, or ask us anything.

Can we keep our SOPs in UGuide?

Yes. Write each SOP as a guide or a section, with numbered steps, photos and a short video, and attach the full document or the maker’s manual as a PDF. When you update it, the QR code on the instrument shows the new version straight away, so there are no old printouts to chase.

Do users need an app or an account to read an SOP?

No. Any phone camera opens it in the web browser. Only the people who write the guide need an account: 1 on Free, and up to 3 per lab on Basic or 25 on Pro.

Can we see which instruments people look up?

Yes. On Basic and Pro, you can see how often each QR code is scanned, what people search for and the problems they report, tracked until they’re resolved.

Can we keep admin settings private?

Yes. Mark a section “Needs PIN” and only people with the lab’s PIN can open it.

What happens when we update an SOP after we've printed the codes?

Nothing needs reprinting. Each code is permanent, so the same sticker shows the new version as soon as you publish it.

Can UGuide AI write our SOPs?

It writes the first draft. Describe the instrument, or jot down a few notes, and it drafts numbered steps. Already have SOPs in Word or a PDF? It turns them into sections and steps instead, with the pictures in place. Add your photos and manuals and it puts each in the right section; it can also draw simple diagrams and find the maker’s manuals online. You check every step before it goes in. It comes with the Basic, Pro and Enterprise plans.

Is there a free trial?

Yes. You can try a Basic or Pro licence free for 14 days on one lab, and you don’t need a card to start. Everything in the licence works, except that UGuide AI has 5 uses a month until you add a card. Add one before the trial ends to keep it. If you don’t, the lab goes back to Free: nothing is deleted, and you can buy a licence whenever you’re ready.

We run many labs. Does UGuide scale?

Yes. Put every lab under your institute or department and give each team access to just its own. Each lab has its own licence, so you only pay Pro prices where you need Pro, and the more you buy the less each costs: 10% off from 5 of a kind, 20% from 10 and 30% from 25. Universities and larger institutes can also have an Enterprise contract, invoiced yearly.

How does pricing work?

UGuide calls your institute or department an “entity” and each lab a “facility”. You buy a licence for each lab: Basic ($80 a year or $8 a month) or Pro ($200 a year or $20 a month), including GST, in any mix. One lab in each entity can run on Free. How many people can work on a lab depends on its licence: 1 on Free, 3 on Basic and 25 on Pro, owners included. You can add licences, move them between labs, or give some up at any time.
