The handover manual that lives on the switchboard.

UGuide puts the instructions for every system you install on a QR code right on it: the inverter, the hot water, the heating, the pool pump. Homeowners scan and see how it works and what to check, long after the keys are handed over.

Solar inverter

  1. A green light means it’s working.
  2. If the light is red, turn it off at the AC isolator, wait a minute, then turn it back on.
  3. Check how much it’s making in the app named on the sticker.

The problem

The handover folder ends up in a drawer.

Call-backs

Months after handover, owners ring about the inverter light, the hot water or the heating timer.

Manuals go missing

The manuals and warranty papers are in a box somewhere, or left with the last owner.

Reviews and referrals

An owner who can’t work their new home doesn’t recommend the builder who built it.

UGuide puts the answer on the system itself, for this owner and the next.

How it works

From handover folder to QR code in four steps.

  1. Step 1

    Set up your business

Add your company, then each home or job (UGuide calls them facilities). Invite your site supervisors and installers to add what they fitted.

  2. Step 2

Write it once, system by system

Type the steps, or let UGuide AI write the first draft from your notes or the maker’s manuals. Add photos and a short video, and keep the alarm code behind a PIN for the owners.

  3. Step 3

Print the QR codes and stick them up

Labels or signs, from 1 to 20 on an A4 page. Every section keeps its own code forever, so changing the guide never means reprinting.

  4. Step 4

    Owners scan. Sorted.

Homeowners point their phone camera at the code and the right instructions open straight away. No app, no account, no call-back.

Try it: scan the code, or open the example guide

Jot down a few notes. UGuide AI writes the handover guide.

Writing a handover guide for every home takes time on a busy job. Tell UGuide AI what you installed, or give it the maker’s manuals, and it drafts clear, step-by-step instructions any homeowner can follow.

  • Write a whole guideDescribe the home, or start from the handover notes you already have in Word or a PDF. Add your photos and the maker’s manuals, and get every section written with each photo in place.
  • Suggest sectionsSee what a guide like yours should cover, with simple diagrams and the maker’s manuals found online.
  • Draft a sectionTurn rough notes into numbered steps.
  • Improve what’s thereMake your own words clearer, shorter, or into steps.

You stay in charge. Nothing goes into a guide until you choose to use it, new guides start as drafts, and you add alarm codes and PINs yourself afterwards.

What should the guide cover?

New four-bedroom home with a 6.6 kW solar system, heat pump hot water, ducted heating, an alarm and a pool. The owners need to know how to use and look after it all.

Features

Everything a homeowner needs. Nothing they have to install.

No app. No login.

Homeowners point their phone camera at the code and the guide opens in the browser. That's it.

Codes that never break

Edit the guide any time. The stickers already on each system keep working.

PIN-protected sections

The alarm code and anything else private only show for people with the owners’ PIN.

Save as a PDF

Download the whole guide as a PDF for the handover pack, with a QR code back to the live version.

Read aloud

One tap reads the steps out, in an Australian voice where the phone has one.

Photos, video and manuals

Show the light, play a short clip, attach the maker’s manual. Videos are shrunk automatically.

Your whole team

Invite your supervisors and installers, give owners full control, and hand over when people move on.

Print-ready labels

Choose 1 to 20 codes per A4 page and how big they print.

Your logo, your colours

Guides, QR signs and PDFs can carry your company’s logo instead of ours, in every home you hand over.

For builders with many jobs

Every home in one place. Every job in its own lane.

Put each home under your company. Your office sees everything; supervisors and installers only work on the homes they're added to. The guide stays with the home, not with whoever wrote it.

Questions

Good questions, short answers.

Still wondering? Create a free account and try it: the guide stays private until you publish it. There are more answers in the help centre, or ask us anything.

Do homeowners need an app or an account?

No. Any phone camera opens the guide in the web browser. Only the people who write the guide need an account: 1 on Free, and up to 3 per home on Basic or 25 on Pro.

Can we attach the maker’s manuals?

Yes. On Basic and Pro, attach PDFs to each section, next to your own steps and photos. UGuide AI can also find the maker’s manuals online for you.

Can we keep the alarm code private?

Yes. Mark a section “Needs PIN” and only people with the home’s PIN can open it. Give the PIN to the owners at handover.

What happens when we change a guide after we've stuck the codes on?

Nothing needs reprinting. Each code is permanent, so the same sticker shows the new version as soon as you publish it.

Can UGuide AI write our handover guide?

It writes the first draft. Describe the home and what you installed, or jot down a few notes, and it drafts the sections and step-by-step instructions. Already have handover notes in Word or a PDF? It turns them into sections and steps instead, with the pictures in place. Add your photos and PDF manuals and it puts each in the right section; it can also draw simple diagrams and find the maker’s manuals online. You check everything before it goes in, and you add codes and PINs yourself. It comes with the Basic, Pro and Enterprise plans.

Is there a free trial?

Yes. You can try a Basic or Pro licence free for 14 days on one home, and you don’t need a card to start. Everything in the licence works, except that UGuide AI has 5 uses a month until you add a card. Add one before the trial ends to keep it. If you don’t, the home goes back to Free: nothing is deleted, and you can buy a licence whenever you’re ready.

We hand over dozens of homes a year. Does UGuide scale?

Yes. Put every home under your company and give each supervisor access to just their jobs. Each home has its own licence, so you only pay Pro prices where you need Pro, and the more you buy the less each costs: 10% off from 5 of a kind, 20% from 10 and 30% from 25. Larger builders can also have an Enterprise contract, invoiced yearly.

How does pricing work?

UGuide calls your company an “entity” and each home a “facility”. You buy a licence for each home: Basic ($80 a year or $8 a month) or Pro ($200 a year or $20 a month), including GST, in any mix. One home in each entity can run on Free. How many people can work on a home depends on its licence: 1 on Free, 3 on Basic and 25 on Pro, owners included. You can add licences, move them between homes, or give some up at any time.

Every home, explained.
