The machine guide that lives on the machine.

UGuide puts the start-up steps, safety checks and shut-down for every machine on a QR code right on it. Members, new starters and contractors scan and see how it works, always the current version.

The problem

The manual is in a drawer somewhere.

New people, same questions

Members, new starters and contractors all need the same walk-through, and it takes someone off the floor every time.

Faded laminated sheets

The sheet taped to the machine is faded, out of date or gone.

Breakdowns and call-outs

Machines get run the wrong way, and the fix starts with a call to whoever set them up.

UGuide puts the current steps on every machine, right where people are working.

How it works

From laminated sheet to QR code in four steps.

  1. Step 1

    Set up your site

Add your business or club, then each workshop or site (UGuide calls them facilities). Invite the supervisors and members who look after the machines.

  2. Step 2

Write it once, machine by machine

Type the steps, or let UGuide AI write the first draft from your notes or the procedures you already have. Attach the maker’s manual, add photos and a short video, and keep maintenance settings behind a PIN.

  3. Step 3

Print the QR codes and stick them up

Labels for every machine, from 1 to 20 on an A4 page. Each one keeps its code forever, so updating the steps never means reprinting.

  4. Step 4

    Anyone scans. Sorted.

People point their phone camera at the code and the steps for that machine open straight away. No app, no account, no faded printout.

Try it: scan the code, or open the example guide

UGuide AI

Jot down a few notes. UGuide AI writes the machine guides.

Writing it down is the hard part, and it falls to the one person who knows each machine. Tell UGuide AI about the machine in your own words, or give it the procedure you already have, and it drafts clear, numbered steps anyone can follow.

  • Write a whole guideDescribe the workshop, or start from the procedures you already have in Word or a PDF. Add your photos and manuals, and get every section written with each photo in place.
  • Suggest sectionsSee what a guide like yours should cover, with simple diagrams and the maker’s manuals found online.
  • Draft a sectionTurn rough notes into numbered steps.
  • Improve what’s thereMake your own words clearer, shorter, or into steps.

You stay in charge. Nothing goes into a guide until you choose to use it, new guides start as drafts, and you check every step and add PINs yourself afterwards.

What should the guide cover?

Community workshop with a laser cutter, two 3D printers, a drop saw, a compressor and a dust extractor. New members need to use them safely after their induction.

Features

Everything a new starter needs. Nothing they have to install.

No app. No login.

People point their phone camera at the code and the guide opens in the browser. That's it.

Codes that never break

Update a guide any time. The labels already on the machines show the new version.

PIN-protected sections

Maintenance settings and lock-up steps only show for people you give the PIN to.

Save as a PDF

Download the whole guide as a PDF, with a QR code back to the live version.

Read aloud

One tap reads the steps out, so gloved hands can stay on the job.

Photos, video and manuals

Show the switch, play a short clip, attach the maker’s manual. Videos are shrunk automatically.

Easy handover

Invite supervisors and members, give owners full control, and hand over when people move on.

Print-ready labels

Choose 1 to 20 codes per A4 page and how big they print.

Your logo, your colours

Guides, QR signs and PDFs can carry your logo instead of ours. On Pro, each site can have its own.

For businesses with more than one site

Every site in one place. Every team in its own lane.

Put each workshop, factory or depot under your business. Owners see everything; supervisors only work on the sites they're added to. The guides stay with the machines, not with whoever wrote them.

Questions

Good questions, short answers.

Still wondering? Create a free account and try it: the guide stays private until you publish it. There are more answers in the help centre, or ask us anything.

Can we keep our machine procedures in UGuide?

Yes. Write each procedure as a guide or a section, with numbered steps, photos and a short video, and attach the full document or the maker’s manual as a PDF. When you update it, the QR code on the machine shows the new version straight away, so there are no old printouts to chase.

Do members and staff need an app or an account?

No. Any phone camera opens the guide in the web browser. Only the people who write the guide need an account: 1 on Free, and up to 3 per site on Basic or 25 on Pro.

Can staff read it in their own language?

Yes. Staff can choose from more than 40 languages, and the guide is translated for them on the spot. You write it once, in English.

Can we keep maintenance settings private?

Yes. Mark a section “Needs PIN” and only people with the site’s PIN can open it.

What happens when we update a guide after we've printed the codes?

Nothing needs reprinting. Each code is permanent, so the same sticker shows the new version as soon as you publish it.

Can UGuide AI write our machine guides?

It writes the first draft. Describe the machine, or jot down a few notes, and it drafts numbered steps. Already have procedures in Word or a PDF? It turns them into sections and steps instead, with the pictures in place. Add your photos and manuals and it puts each in the right section; it can also draw simple diagrams and find the maker’s manuals online. You check every step before it goes in. It comes with the Basic, Pro and Enterprise plans.

Is there a free trial?

Yes. You can try a Basic or Pro licence free for 14 days on one site, and you don’t need a card to start. Everything in the licence works, except that UGuide AI has 5 uses a month until you add a card. Add one before the trial ends to keep it. If you don’t, the site goes back to Free: nothing is deleted, and you can buy a licence whenever you’re ready.

We have several sites. Does UGuide scale?

Yes. Put every site under your business and give each team access to just its own. Each site has its own licence, so you only pay Pro prices where you need Pro, and the more you buy the less each costs: 10% off from 5 of a kind, 20% from 10 and 30% from 25. Larger businesses can also have an Enterprise contract, invoiced yearly.

How does pricing work?

UGuide calls your business or club an “entity” and each site a “facility”. You buy a licence for each site: Basic ($80 a year or $8 a month) or Pro ($200 a year or $20 a month), including GST, in any mix. One site in each entity can run on Free. How many people can work on a site depends on its licence: 1 on Free, 3 on Basic and 25 on Pro, owners included. You can add licences, move them between sites, or give some up at any time.
