Entities, facilities, guides and sections explained

Entity

The council, club, school or organisation that owns your facilities, such as Macedon Ranges Shire Council or Bendigo North Soccer Club. An entity has one owner and any number of members, and the licences it buys for its facilities, one each. You can belong to several entities.

Facility

A building or venue the entity looks after. Each facility has a Facility ID (like UG-AB12CD), an address, an optional photo, its own access PIN and the people who manage it.

Guide

A user guide for a facility. It can be a draft (only your team can see it) or published (anyone with one of its QR codes can read it).

Section and sub-section

The parts of a guide, numbered in order. A section holds instructions, photos, videos and PDF documents. Sub-sections are handy for individual pieces of equipment, for example Kitchen → Dishwasher.

QR code

Every guide has its own permanent code, and with a Basic or Pro licence so does every section. Codes never change, so you can edit the guide without reprinting.

Access PIN

A 4 to 8 digit number for each facility. Sections or guides marked Needs PIN only open for people who enter it.
