How many people can work on a facility

Each facility's licence sets how many people can work on it in UGuide:

  • Free (no licence): 1 person
  • Basic: up to 3 people
  • Pro: up to 25 people
  • Enterprise: as many as your contract sets for each facility

Reading guides doesn't count. Anyone can open a published guide by scanning its QR code, without an account.

Who counts

Everyone who can work on the facility counts once: the people on its People tab, and the entity's owner, who works on every facility in the entity. The People tab shows how many it has, for example 2 of 3 people.

Members only count on the facilities they're added to, so add each person to just the facilities they need. When you invite someone, each facility you choose for them needs room for one more person, counting other invites still waiting for it. See Who can do what.

When a facility is full

Nobody else can be added to it. To make room, take someone off (see Remove someone, or leave), or give the facility a licence that allows more people (see Give facilities their licences).

Handing over to a new committee? Invite the new person as a member, then choose Hand over on the entity's People tab. They become the owner and you leave, so it works even when a facility is full. To stay on as a member instead, every facility needs room for one more person. See Hand over when your committee changes.

If a licence stops or gets smaller

When a subscription, free trial or contract ends, a facility can have more people than it now allows. Nobody loses access, but nobody else can be added until it's back within its limit.

You can't take a facility's licence off, or swap it for one that allows fewer people, while more people work on it than that would allow. Take people off first.
