See how your guides are used (Reporting)

Every facility with a Basic or Pro licence has a Reporting tab, and the entity's Reporting tab adds them up (facilities without a licence are left out). It shows how visitors use your guides, so you can see whether the QR codes are working and what to improve.

  1. Open the entity or facility and choose the Reporting tab.
  2. Choose a period at the top: the last 7 days, 30 days, 90 days or 12 months.

An entity's Reporting tab adds up all of its facilities, with a line for each. Members see the facilities they've been added to; the entity's owner sees them all.

What it shows

  • Guide views: how many times a QR code's page was opened, day by day, compared with the period before.
  • QR codes: views for each guide and each section's code, and the codes nobody scanned in the period. A code that's never scanned may have fallen off, be hard to reach, or be in the wrong place (see Where to put your QR codes).
  • What visitors search for in Search this guide, and the searches that found nothing. Those are the questions your guide doesn't answer yet.
  • Problems reported: every report from Report a problem, with how many are open and how long they take to resolve.
  • Languages and PDFs: how often visitors read a guide in another language, which languages, and how often they download the PDF.

Keep track of problems

New reports are Active. Change a report's status to In progress while it's being fixed, then Resolved, or Dismissed if there's nothing to fix. Add a note for the rest of your team, for example "Plumber booked for Tuesday". The visitor doesn't see the status or the note; reply to their email to let them know.

Anyone who works on the facility can change a report's status. Owners can also delete a report. Resolved and dismissed reports are deleted a year after they're closed, and any report two years after it was sent. Reports sent while the facility had no licence were emailed but aren't listed.

Warn visitors about a known issue

If something's broken and you already know about it, tell visitors before they try to use it, so they don't waste their time or report it again.

  1. On the problem report, turn on Warn visitors.
  2. Choose the part of the guide the warning goes on. It starts as the part the report was about; choose The whole guide for something that affects everything.
  3. Say what visitors should know if you like, for example "The hot water is off until Tuesday. Please use the kitchen tap." Then choose Warn visitors.

Visitors who open that part of the guide, by scanning its QR code or scrolling to it, see a notice in the middle of the screen (once a visit), and the warning stays at the top of that part. A warning on the whole guide shows as soon as they open it.

While a warning is on, everyone who works on the facility gets a reminder email every 7 days. Once it's fixed, turn off Warn visitors, or mark the report Resolved or Dismissed, which turns it off too, and the reminders stop. Choose Edit to change the part of the guide or the wording; the reminders keep the same day.

What's counted

  • A visit counts once, however many times the visitor reloads the page while it's open in their browser.
  • When you or anyone else who works on the facility opens its guides while logged in to UGuide, it isn't counted. To test a code, scan it with your phone's camera when you're logged out.
  • UGuide doesn't record who visitors are: just the number of visits, the words searched for, and the language chosen.
  • Figures are kept for 13 months.
Without a licence, visits are still counted, so when the facility gets one, the Reporting tab already shows them.
